Stockmatic LLC ("Stockmatic," "we," "us," or "our") respects your privacy and is committed to protecting the personal information we collect, use, and share. This Privacy Policy explains how we handle personal information in connection with our website (https://www.stockmatic.com), our customer portal (https://portal.stockmatic.com), and our third-party logistics (3PL) services, including e-commerce fulfillment, B2B distribution, Amazon FBA preparation, drayage, cross-docking, last-mile delivery, and bonded warehousing.

This Policy applies to all visitors and users worldwide, including residents of the United States (with specific provisions for California residents), the European Economic Area (EEA), the United Kingdom, Brazil, Canada, and other jurisdictions.

Important: Stockmatic operates as a business-to-business (B2B) service provider. We may process personal information of end customers (such as recipients of shipments) on behalf of our business clients. In those cases, our clients act as the data controller, and Stockmatic acts as a service provider or processor. The processing of such end-customer information is governed primarily by the privacy policies of our clients and by the data processing agreements we have entered into with them.

1. Who We Are and How to Contact Us

2. Information We Collect

We collect personal information in the following categories. The specific information we collect depends on how you interact with us.

2.1 Information You Provide Directly

  • Contact and quote requests: When you submit a quote request through our website form, you provide your first and last name, business email address, company name, phone number, website URL, and a description of your fulfillment needs.

  • Customer portal accounts: When you register for the Stockmatic customer portal, we collect your name, business email, password (stored in hashed form), company information, and access credentials.

  • Service onboarding information: Once you become a client, we may collect billing information, tax identification numbers (e.g., EIN), authorized contact persons, integration credentials for e-commerce platforms (Shopify, Amazon, Walmart, eBay, TikTok Shop, BigCommerce, WooCommerce), carrier account information, and customs documentation.

  • Communications: When you contact us by email, phone, or other channels, we retain the content of those communications and any information you choose to share.

2.2 Information We Collect Automatically

  • Device and usage data: IP address, browser type and version, operating system, device identifiers, pages viewed, referring URL, date and time of visit, and time spent on pages.

  • Cookies and similar technologies: We use cookies, pixel tags, and similar technologies as described in Section 7.

  • Analytics: We use Google Analytics to understand how visitors use our website. Google Analytics may collect information about your interactions with our site, including pseudonymous identifiers and behavior data.

  • Hosting platform data: Our website is hosted on the Wix platform, which collects basic technical information necessary to operate the website (such as cookies for session management and security).

2.3 Information We Process on Behalf of Our Clients

As a 3PL provider, we receive and process personal information of our clients' end customers (typically the recipients of shipments) so that we can pick, pack, label, ship, and deliver orders. This information may include:

  • Recipient name, shipping address, and phone number.

  • Order details and SKU information.

  • Special delivery instructions.

  • Returns information and reasons for returns.

  • In limited cases, customs and import documentation that may include identification numbers required by U.S. Customs and Border Protection (CBP) or foreign customs authorities.

 

In these scenarios, our client is the data controller (or business, under CCPA terminology), and Stockmatic acts as a service provider or processor on our client's behalf, pursuant to the data processing terms in our service agreement.

2.4 Information from Third Parties

  • E-commerce platforms (Shopify, Amazon, Walmart, eBay, TikTok Shop, BigCommerce, WooCommerce) when our clients connect their stores to our systems.

  • Shipping carriers (such as UPS, FedEx, USPS, DHL, and regional carriers) regarding shipment status, delivery confirmations, and exceptions.

  • Publicly available business information for prospect research and verification (such as business registries and company websites).

2.5 Sensitive Personal Information

We do not intentionally collect sensitive personal information (such as government identification numbers belonging to individuals, health data, racial or ethnic origin, or biometric data) except where strictly necessary for customs clearance, legal compliance, or to fulfill a specific service request authorized by our client. We do not sell sensitive personal information.

3. How We Use Your Information

We use personal information for the following business purposes:

  • To respond to quote requests, inquiries, and customer support tickets.

  • To provide and operate our 3PL services, including receiving inventory, fulfillment, shipping, returns, and last-mile delivery.

  • To create and manage customer portal accounts and authenticate users.

  • To integrate with e-commerce platforms and shipping carriers selected by our clients.

  • To process invoicing, payments, and account reconciliation.

  • To comply with U.S. customs, import/export, tax, and other legal obligations.

  • To detect, prevent, and respond to fraud, security incidents, and other unlawful activity.

  • To improve our services, train our team, and develop new offerings.

  • To send service-related and operational communications (such as onboarding emails, service updates, and billing notices).

  • To send marketing communications about Stockmatic services where permitted by law and where you have not opted out.

  • To enforce our Terms of Service and other agreements.

4. Legal Bases for Processing (EEA / UK Visitors)

If you are located in the European Economic Area (EEA), the United Kingdom, or Switzerland, we process your personal information under one or more of the following legal bases:

We do not sell personal information for monetary consideration. We share personal information only as described below.
 

5.1 Service Providers and Sub-processors

We share personal information with vendors who help us operate our business, including:

  • Shipping and logistics carriers (UPS, FedEx, USPS, DHL, regional and last-mile carriers, freight brokers).

  • E-commerce and marketplace platforms (Shopify, Amazon, Walmart, eBay, TikTok Shop, BigCommerce, WooCommerce) when our clients have authorized integrations.

  • Cloud hosting and infrastructure providers.

  • Website hosting platform (Wix).

  • Analytics providers (Google Analytics).

  • Customs brokers and freight forwarders.

  • Email, communications, and CRM tools.

  • Accounting, billing, and payment processors.

  • Professional advisors (attorneys, auditors, insurers).

 

These vendors are bound by contractual obligations to use personal information only for the purposes we authorize and to maintain appropriate security.
 

5.2 Our Clients (When We Act as a Service Provider)

When we process end-customer information on behalf of a Stockmatic client, we share that information back with our client and with the third parties our client has authorized (such as their preferred carrier or marketplace).
 

5.3 Legal and Safety Disclosures

We may disclose personal information when we believe in good faith that disclosure is necessary to: (i) comply with applicable laws, regulations, subpoenas, court orders, or governmental requests, including from U.S. Customs and Border Protection or other customs authorities; (ii) enforce our agreements; (iii) protect the rights, property, or safety of Stockmatic, our clients, our employees, or others; or (iv) prevent or investigate fraud or security incidents.
 

5.4 Business Transfers

If Stockmatic is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, personal information may be transferred as part of that transaction. We will notify affected individuals as required by law.

6. International Data Transfers

Stockmatic is headquartered in the United States, and the personal information we collect is generally processed in the United States. If you access our services from outside the United States, your information will be transferred to and processed in the United States and other countries where our service providers operate.

 

For transfers from the EEA, the United Kingdom, or Switzerland to the United States or other third countries, we rely on appropriate safeguards required by applicable law, such as the European Commission's Standard Contractual Clauses, the UK International Data Transfer Addendum, or, where applicable, certifications under the EU-U.S. Data Privacy Framework, the UK Extension to the EU-U.S. Data Privacy Framework, and the Swiss-U.S. Data Privacy Framework. 7. Cookies, Analytics, and Tracking Technologies

Our website uses cookies and similar technologies to operate the site, remember your preferences, analyze traffic, and improve our services. The categories of cookies we use are:

Do Not Track and Global Privacy Control: Our website honors recognized opt-out signals such as the Global Privacy Control (GPC) where required by applicable law (including for California residents under the CCPA/CPRA).

8. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this Policy, unless a longer retention period is required or permitted by law. Specific retention practices include:

9. Data Security

We implement administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption in transit, access controls based on the principle of least privilege, network monitoring, secure facility access at our Miami warehouse, employee confidentiality obligations, and periodic security reviews.

 

No method of transmission or storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security. If we become aware of a security incident affecting your personal information, we will notify affected individuals and authorities as required by applicable law.

10. Your Privacy Rights

Depending on where you live, you may have the following rights regarding your personal information:

  • Right to access: Request confirmation of whether we process your personal information and obtain a copy.

  • Right to correction: Request that we correct inaccurate or incomplete information.

  • Right to deletion: Request that we delete your personal information, subject to legal exceptions.

  • Right to data portability: Receive your information in a structured, machine-readable format.

  • Right to opt out of sale or sharing: We do not sell personal information for monetary consideration. If our practices change, we will provide a clear opt-out mechanism.

  • Right to non-discrimination: We will not discriminate against you for exercising any of these rights.

  • Right to lodge a complaint: You may file a complaint with your local data protection authority.

We will verify your identity before fulfilling your request and respond within the timeframes required by applicable law (typically 30 to 45 days). You may designate an authorized agent to submit a request on your behalf, subject to verification.

 

If you are an end customer of one of our clients (for example, you received a shipment fulfilled by Stockmatic), please direct your request first to the merchant from whom you purchased the product. As a service provider, we will assist that merchant in responding to your request.

11. Notice to California Residents (CCPA / CPRA)

This section provides additional information for California residents under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA).
 

11.1 Categories of Personal Information Collected

In the past 12 months, we have collected the following categories of personal information, as defined under the CCPA:

  • Identifiers (name, email address, phone number, IP address, account login).

  • Commercial information (services purchased, transaction history).

  • Internet or network activity (browsing data, interactions with our website and portal).

  • Geolocation data (general location derived from IP address).

  • Professional or employment-related information (company name, job title).

  • Inferences drawn from the above (such as service preferences).
     

11.2 Sources of Personal Information

We collect this information directly from you, automatically through your use of our website and portal, and from third parties such as e-commerce platforms, carriers, and our clients.
 

11.3 Business Purposes for Collection

We collect personal information for the business purposes described in Section 3 of this Policy.
 

11.4 Categories Disclosed to Third Parties

In the past 12 months, we have disclosed the categories of personal information listed above to the categories of recipients identified in Section 5 (service providers, our clients, and as required by law).
 

11.5 No Sale or Sharing of Personal Information

Stockmatic does not sell personal information for monetary consideration and does not share personal information for cross-context behavioral advertising as those terms are defined under the CCPA/CPRA. We have not sold or shared the personal information of California residents in the preceding 12 months, and we have no actual knowledge of selling or sharing the personal information of consumers under 16 years of age.
 

11.6 Sensitive Personal Information

We do not use or disclose sensitive personal information for purposes that would require us to offer a Right to Limit under the CPRA.
 

11.7 Your California Rights

  • Right to know what personal information we have collected, used, disclosed, and sold or shared.

  • Right to delete personal information, subject to exceptions.

  • Right to correct inaccurate personal information.

  • Right to opt out of sale or sharing (not currently applicable, as we do not sell or share).

  • Right to limit use of sensitive personal information (not currently applicable).

  • Right to non-discrimination for exercising your rights.

11.8 Shine the Light

California Civil Code Section 1798.83 permits California residents to request information regarding the disclosure of personal information to third parties for direct marketing purposes. Stockmatic does not disclose personal information to third parties for their direct marketing purposes.

12. Notice to EEA, UK, and Swiss Residents (GDPR)

If you are located in the EEA, United Kingdom, or Switzerland, the General Data Protection Regulation (GDPR), the UK GDPR, or the Swiss Federal Act on Data Protection (FADP) may apply to our processing of your personal information.

In addition to the rights described in Section 10, you have the right to lodge a complaint with the supervisory authority in your country of residence, work, or where you believe a violation has occurred. A list of EU supervisory authorities is available at https://edpb.europa.eu/about-edpb/board/members_en. UK residents may contact the Information Commissioner's Office (ICO) at https://ico.org.uk.

13. Notice to Brazilian Residents (LGPD)

If you are located in Brazil, Brazil's Lei Geral de Proteção de Dados (LGPD) may apply. In addition to the rights in Section 10, LGPD grants you the rights to: confirm the existence of processing, access your data, correct incomplete or inaccurate data, anonymize, block, or delete unnecessary data, request portability, request deletion of data processed with consent, obtain information about entities with which we share data, request the review of automated decisions, and revoke consent.

14. Notice to Canadian Residents (PIPEDA)

If you are located in Canada, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws may apply. We process your personal information consistent with the principles of PIPEDA, including accountability, identifying purposes, consent, limiting collection, limiting use and disclosure, accuracy, safeguards, openness, individual access, and challenging compliance.

15. Children's Privacy

Our services are directed to businesses and are not intended for children under 16 years of age. We do not knowingly collect personal information from children under 16. If we become aware that we have inadvertently collected personal information from a child under 16, we will delete it as soon as reasonably possible. If you believe a child has provided us with personal information, please contact privacy@stockmatic.com.

Our website and portal may contain links to third-party websites, services, and integrations (such as Shopify, Amazon, Walmart, eBay, TikTok Shop, BigCommerce, WooCommerce, carrier tracking pages, and social media platforms including LinkedIn, Instagram, X (Twitter), Facebook, and YouTube). Program Name: Stockmatic Order Alerts

 

Description: By opting in, you agree to receive automated SMS notifications about order modifications, shipment updates, and other order-related alerts from Stockmatic LLC through the Logiwa WMS system.

 

How to Opt-In: Users opt-in to receive SMS notifications by texting START to the designated Stockmatic phone number, or by providing their phone number through the registration form at https://www.stockmatic.com and explicitly agreeing to receive order update notifications.

 

Opt-In Confirmation: Upon opt-in, you will receive a confirmation message. By completing the opt-in process, you consent to receive recurring automated SMS messages from Stockmatic LLC.

 

How to Opt-Out: Text STOP at any time to unsubscribe from all SMS notifications. You will receive one final confirmation message. After opting out, you will no longer receive SMS messages from this program.
